Invoices

* Update: For service providers approved to deliver the Traumatic Psychological Injury program, please follow the process for Tier 1 invoices when submitting.

The following invoices must be submitted through your WCB Online account:

  • Tier 1 invoice

  • Tier 2 and 3 invoices

All invoices linked to a specific claim number, and their attachments and secure messages, become a permanent part of the claim file.

Send an invoice

  1. On the Invoices page, search for the client using the WCB claim number and corresponding Nova Scotia health card number.

    • If the client doesn’t have a Nova Scotia health card, the invoice will need to be faxed to 902-491-8001.

  2. Select New Invoice.

  3. Tier 2 and 3 approved providers: select the type of invoice you wish to use by selecting the radio button next to the invoice, then select Create New Invoice.

Tier 1 approved providers: select New Invoice. This will initiate a new Service Provider Account form.

  4. Fill in all relevant and required fields. Note that service providers can bill in .25 hour increments.

  5. Select Save Draft if you need to complete the invoice later

  6. Select Submit to send the invoice. If it does not send, check that:

    • all mandatory fields are filled in

    • the invoice has a unique number

    • the signature box is checked, if required

Invoices cannot be changed or edited after they are submitted.

Please do not attach invoices to secure messages. If there are technical difficulties with WCB Online prohibiting submission, please fax them to 902-491-8001.

Payments

Once an invoice is processed, itemized payments will be displayed at the bottom of the online invoice under the Payment section.

Outstanding payments

Before sending a message about an outstanding invoice, check the processing date at the top right of the invoice screen. This shows the submission date on invoices currently being processed. If your invoice was submitted prior to that date, inquire about its status using Outstanding Invoice as the topic for a secure message. Specify the form number for the invoice in the message.

Reconciling payments

If any payment transfers or overpayment recoveries were applied to a specific invoice, the amount paid will not match the invoice.

The statement that accompanies each cheque contains all payment details for reconciliation.

Send any questions via secure message using the Reconcile Billing topic. Specify the form number for the invoice in the message.
